View a day's reservations in one place, quick book a resource, or jump into any reservation calendar - all from the Finder.

Overview

The Finder is your go-to tool for browsing available resources from rooms, seats, parking spots, assets, and lockers, and booking them directly from a single view. It displays a day-by-day timeline showing all resources and their availability at a glance.

To access the Finder, navigate to Home > Finder from the top navigation.


Resource Types

At the top of the Finder, use the Resource Type selector to switch between the types of reservable resources you want to browse:

  • Rooms: Conference rooms, meeting rooms, and other reservable meeting spaces.
  • Seats: Individual desks, workstation stations, or seats inside private offices.
  • Parking: Parking spots.
  • Assets: Shared equipment and other bookable assets.
  • Lockers: Reservable Lockers.

Filters

The filter bar below the Resource Type selector lets you narrow down the resources displayed in the timeline. The available filters depend on the selected resource type. For Rooms, the following filters are available:

  • Search: Type a room name or keyword to filter the list by name.
  • Categories: Filter by reservation category.
  • Group By: Change how resources are grouped in the timeline (e.g., by resource type, location).
  • Locations: Filter by one or more locations. Only resources at the selected locations will appear.
  • Resource Types: Filter by resource type (e.g., Conference Room, Boardroom).
    • This filter will update based on the resource selected. For instance, if you are viewing Seats, the different seat types like Open Workstation, Private Seat, Shared Office, etc., will be displayed as options in this filter instead.
  • Available Times: Filter to only show rooms that are available during a specific time range.
  • Features: Filter by room features or amenities (e.g., video conferencing, whiteboard).
  • Room Capacity: Use the slider to filter by minimum and maximum capacity.
  • Full Day: Toggle to switch the timeline to a full-day view.
  • Show Favorites: Toggle to show only resources you have marked as favorites.

To reset all filters at once, click Clear all filters.

💡 TIP

In the Locations filter, you can click the location's name to select all the maps under that location all at once so that only resources in that location will appear. This also affects which locations are available when copying or moving a reservation.

 

Timeline Navigation

The timeline on the right side of the Finder shows each resource as a row with its availability across the day. The current time is shown as a vertical marker.

  • Use the Previous and Next arrow buttons to move forward or backward by one day.
  • Click Today to return to the current date.
  • Each resource row shows its name, location, floor, and capacity on the left side.
  • Existing reservations appear as colored blocks on the timeline. Click a block to view reservation details.
  • Resources are grouped by category (e.g., Boardroom, Conference Rooms). Click the group header arrow to collapse or expand a group.

Opening a Resource's Calendar

Each resource includes a calendar icon on the left side. When hovering in the resource's tile, a calendar icon will appear, where clicking this icon will bring you to the full reservation calendar for that resource, where you can view existing bookings and create new reservations by clicking on any available time slot.


Making a Reservation from the Finder

To quickly book a resource directly from the timeline:

  1. Click and drag across an available time slot on a resource's timeline row to set your desired start and end time. A New Booking block appears as you drag.
  2. A small booking dialog appears anchored to the new block. It shows:
    • Title: Pre-filled as “Reserved by [Your Name]”. Edit the reservation title as needed.
    • Starts / Ends: The time range you selected, with timezone shown.
    • Message: An optional note for attendees.
    • Conference URL: An optional link for virtual meetings.
  3. Adjust any fields as needed, then click Save to confirm the reservation.
  4. To discard the booking, click Cancel.

Viewing and Managing Existing Reservations

Clicking an existing reservation block on the timeline opens a Reservation Info pop-up. It displays information about the reservation, like the title, date/time, and the message field if the reservation is configured with one. Depending on your permissions, you may see the following actions:

  • View: Opens the full Reservation Details dialog showing the General, Attendees, Locations, Services, and (when configured) Video Conference tabs with all reservation details.
  • Edit: Opens the Reservation Calendar to modify the reservation details.
  • Copy: Duplicates the reservation to a different resource. See How can I duplicate an existing reservation?
  • Move: Moves the reservation to a different room or resource. See the Move Reservation section below.
  • Delete: Cancels and removes the reservation.

Move Reservation

The Move action lets you reassign an existing reservation to a different resource while keeping all other reservation details intact.

  1. Click the reservation block on the Finder timeline to open the Reservation Details pop-up.
  2. Click Move.
  3. In the Move Reservation dialog, select the new room or resource from the dropdown.
  4. Click Continue.
  5. Review the confirmation screen. If a warning appears, check for conflicts before proceeding.
  6. Click Move Reservation to confirm.

Reservations can also be moved inside the Finder by clicking and dragging them up and down between resources and dropping the reservation where you want to finalize the move.

⚠️ IMPORTANT

Moving a reservation cannot be undone. If the destination resource has a conflict, a warning will appear on the confirmation screen before you finalize the move. If moving a reservation between different resource types or between resources at different maps/locations, there is a possibility that enabled services exist on the current reservation that don't exist on the destination resource, in which if an enabled service does not exist in the new resource, it will be removed.
