Getting Started

To create and edit Groups within your organization, occupants configured in a custom permission group must have the Group members can manage groups option enabled in the Organization Menu section. By default, all admin users have this ability enabled.


Create a New Group

  1. In the Organization tab, navigate to the Groups section at the top of the screen.
  1. Click the Create Group button.
  1. Fill out the required fields for the group you want to create:
    1. Group Name - This is a required field.
    2. Permission Group - This is only necessary if you will be using Groups to configure users and their permission groups.
    3. Description - This is an optional field.
    4. SCIM Group Name - Currently not applicable, as provisioning groups via the Microsoft Enterprise application is unavailable.
  2. Click the Create button to finalize the group creation.

Edit a Group

  1. In the Organization tab, navigate to the Groups section at the top of the screen.
  1. Select the group you want to edit.
  2. Click the Manage Group button.
  1. In the General Info section you can edit the following characteristics and perform the following actions:

Group Information

  • Group Name
  • SCIM Group Name
  • Description

Permission Group Assignment

  • Permission Group
  • Clear Permission Group 
    • Clicking this will remove the group’s current permission group association. The group will no longer be linked to any permission group after this action.

Reset Member Permissions

  • Clicking this will recalculate the permission group for any direct members of the group. This is particularly useful when groups are being used for permission configuration, and you need to update the permissions of occupants who have been added or removed from multiple groups.

  


Configure/Removing Users to a Group

  1. Follow the steps above for Editing a Group.
  2. Once you are editing a group, you can add or remove users in several ways:

Users

You can manually add or remove users by clicking the plus (+) or minus (–) icons. Users listed on the right side are already configured to the group.

Departments 

You can add or remove departments by clicking the plus (+) or minus (–) icons. Departments listed on the right side are configured to the group.

Sub-Groups

Sub-Groups allow you to nest groups inside the current group you are editing. To add or remove sub-groups, click the plus (+) or minus (–) icons. Sub-groups listed on the right side are nested inside the current group.

External Members

  • If you prefer to add a distribution list or an external user's email address, fill out the Member Name and Email fields and select the Add Member button.
  • To remove existing external members, select the member from the existing list and then click the Remove Member button.

Please note, if you are using groups for permission group assignment, this section may not be applicable.

Titles

  • To add occupants automatically based on their assigned titles, click the Add button and type in the title you want to configure for the group. The title is case-insensitive.
  • To remove previously configured titles, select the title you wish to delete and click the Remove button.

Configuring Groups with Permission Groups

When a group is linked to a Permission Group, either when first created or added afterward, all members of that group automatically inherit the assigned Permission Group.

If users belong to multiple groups, their Permission Group assignment follows specific rules: 

  • Priority is given to the Permission Group of the oldest group they joined. If removed from that group, the Permission Group from the next-oldest group is applied. 
  • If multiple groups were joined at the exact same time, the group whose name comes first alphabetically will take priority.

If a user is removed from their highest-priority group, the Permission Group assignment won't update automatically. To correct this, open the user's next highest-priority group and select the Reset Member Permissions button.

For users whose Permission Group is managed through group membership, the Permission Group field at Occupants > Manage Occupants > Edit Occupant > User Account cannot be manually edited. Attempting to do so will trigger the following error message:


Easily View Groups Assigned to a User

To quickly view all groups assigned to a user, ensure you have viewing access to Occupants, then navigate to: 

Occupants > Manage Occupants > Edit Occupant > Groups

Here you can see all groups assigned to the user and how each was assigned, whether by direct assignment, department, nested group, and/or title.
