Seat Signage is an interactive information display that runs on a tablet or display device mounted at individual seats. The display shows real-time seat availability, upcoming reservations, and occupant presence status. Each device can be customized with company branding, backgrounds, security controls, and device management capabilities.

Enabling Seat Signage
- Select the Locations tab from the left-hand navigation bar.
- Select the Manage Seats tab at the top of the page.
- Locate and select the seat you want to configure, and click Edit Seat.
- On the left side of the edit seat window, click the Seat Signage tab.
- Toggle Enable Signage for this Seat to enabled.
- Click Save Changes.

Main Display States
The signage display shows different content depending on the seat's occupancy and reservation status. The following states can appear on the main display:
Currently Available
The "Currently Available" state displays when the seat's usage type is configured as "Reservable", but the seat has no reservation at the current time, and is open for immediate booking. This state appears prominently on the main display to indicate the seat is ready for use.
No Assignment
The "No Assignment" state displays when the seat's usage type is configured as "Assignable", but the seat has no occupant assigned to it.
Currently Reserved
The "Currently Reserved" state displays when someone has an active reservation for the seat. The occupant's profile photo, name, title, and presence badge (if enabled) appear on the main display. If the reservation is marked as private, the display switches to the Private Reservation state instead.
Currently Assigned
The "Currently Assigned" state displays when an occupant has a permanent assignment to the seat. The assigned occupant's profile photo, name, title, and presence badge (if enabled) appear on the main display, just as they would for a current reservation.
Private Reservation
When the current seat reservation is marked as "private", the signage displays "Reserved" as the occupant name and "Private Reservation" as the title. The occupant's profile photo, name, title, and other identifying details are hidden for privacy. This applies to both current occupants and upcoming reservations marked as private.

Configuring Seat Signage
The Seat Signage configuration panel is organized into several sections. All settings are applied when you click Save Changes.
Enable Seat Signage Access
These settings control how the signage device authenticates and identifies itself.
- User Name: A unique login username for this signage device (5-20 characters; letters and numbers only). This is not a Maptician user account. It is used only to log in to this specific device.
- Signage Type: Select the device type (Crestron, Crestron Desk Touch (TSS-470), Crestron Room Touch Screen (TSS-770), Crestron Room Touch Screen (TSS-1070), IAdea, iPad, Visix, or Other) for identification and reporting purposes.
Presence Badge
This setting controls if the presence badge displays in the application. The presence status will update in real-time to display the accurate status for the occupant.
- Show Presence Badge: Display a badge indicating the seat occupant's current presence status: On Site, Remote, or Away.

QR Code
Configure QR code display on the signage.
- Show QR Code: Display a scannable QR code on the signage. By default it links to the Maptician reservation calendar for that seat.
- Custom QR Link: Override the default QR destination with a custom URL (must begin with http:// or https://). Useful for linking to team directories, contact cards, or other office resources. Leave blank to use the default Maptician link.

Set Signage Password
Set the login password for the signage device.
- Password: A strong password (8-15 characters) containing a mix of uppercase, lowercase, numbers, and special characters. Required when logging in to the physical device for the first time or after a reset.
Set Settings Access Code
Restrict access to the Seat Information panel directly on the device.
- Settings Access Code: An optional numeric PIN (up to 12 digits) required to open the Seat Information panel on the physical device. This prevents unauthorized users from viewing seat details such as Wi-Fi credentials or seat restrictions. Leave blank to allow unrestricted access.

Signage Background
Customize the background appearance of the signage display to match your office branding.
- Background Mode: Controls the display background. Options include Light Mode, Dark Mode, Custom Color, and Custom Image.

- Custom Background Color: Available when Background Mode is set to Color.
- Background Image: Available when Background Mode is set to Image. Upload a JPG, PNG, or GIF file to display behind the signage content.
- Background Blur: When using a background image, apply a blur effect from 0 (no blur) to 10 (maximum blur) to keep the image subtle while content remains readable.

Set Logo Settings
Control company logo display on the signage.
- Enable Company Logo on Seat Signage App: Show or hide your organization's logo on the signage display.

Accessing Seat Signage
Logging In to the Device
Each seat's signage device uses a unique login URL that is generated when signage is first enabled.
- On the physical device, open a web browser and navigate to the signage login URL provided by your IT administrator. You can find and copy this URL from the Manage Seat Signage report.
- Enter the User Name and Password configured in the Seat Signage settings.
- Click Sign In. The signage display loads and begins showing real-time seat information.
ℹ️ NOTE
Signage devices remain logged in and continuously update without requiring repeated sign-ins. You only need to log in again after a device reset, a session termination by an administrator, or when a new login URL is generated.
Compact Layout for Smaller Screens
On smaller devices with a screen width below 600px, such as the Crestron TSS-470, Seat Signage displays in a compact layout optimized for smaller screens. The same seat and occupant information is presented, but in a condensed format. The large profile photo, time and date block, and company logo are not shown, and occupant cards are displayed in a compact scrollable list.

Information Modals
Occupant Information Modal
The Occupant Information modal displays details about the person currently assigned to or reserved at the seat. It can be opened in two ways:
- Click the occupant's name or profile on the main signage display when a seat has a current occupant or assignment.
- Click an "Up Next" reservation card to view details for the person with an upcoming booking at the seat.
No passcode is required to access the Occupant Information modal.

The modal displays the following information:
- Presence Status: A badge indicating the occupant's current status (On Site, Remote, or Away), pulled from your calendar and presence integration. This badge only appears if Show Presence Badge is enabled in the seat's Seat Signage settings.
- Name and Title: The occupant's full name and job title.
- Contact Information: Displays the occupant's email address, cell phone number, and office phone number, if configured.
- Upcoming Schedule: A list of the occupant's upcoming seat reservations and assignments. This includes reserved or permanently assigned seats only. Rooms, assets, parking, and lockers are not included.
If a seat has multiple occupants or assignments, you can switch between profiles within the modal to view each person's information.
Seat Information Modal
The Seat Information modal displays location details and access information for the physical seat. To open it, tap the info button (i) on the signage display.
If a Settings Access Code has been configured for the device, you will be prompted to enter the numeric PIN before the modal opens. Enter the code using the on-screen keypad and tap Submit. If the code is incorrect, the entry is cleared and you can try again. If no Settings Access Code is configured, the modal opens immediately.

The modal displays the following information:
- Location: The full location path for the seat, including building, floor, and seat name.
- Wi-Fi: The guest Wi-Fi network name and password for the area (if configured).
- Restrictions: Any seat restrictions that have been applied, such as an assigned occupant restriction.
The Seat Information modal also displays the current software version of the Seat Signage app and includes a Refresh button to immediately reload the display.
Managing Seat Signage Devices
Administrators can monitor and control all seat signage devices across the organization from the Manage Seat Signage page.
- Select the IT & Cloud tab from the left-hand navigation bar.
- Select the Seat Signage tab at the top of the page.
The report displays a table of all seat signage devices with the following columns:
- Location and Map: Where the seat is physically located.
- Seat Name: The seat's name as configured in Maptician.
- Login URL: The unique URL used to log in to this device.
- Device Type: The configured signage device model.
- User Name: The signage device's login username.
- Settings Code: Whether a settings access code is set.
- Version: The Seat Signage software version running on the device.
- Last Status: The most recent time the device checked in with Maptician servers.
- IP Address: The device's current network address.
- User Agent: Browser and OS information from the device.

Individual Device Actions
Select a device row to access the following actions:
- Refresh Device: Forces the device to reload its configuration and immediately update the display. Use this after saving configuration changes to push them to the device right away.
- Reset Device: Performs a hard reset, logging the current session out and returning the device to the sign-in screen. Use this to troubleshoot a frozen or unresponsive device.
- Update Version: Pushes the latest Seat Signage software to the device. The device downloads and installs the update, then restarts.
- Generate New Login URL: Creates a new unique authentication URL for the device and invalidates the old one. Use this if the current URL has been compromised or shared inappropriately.
- End All Sessions: Terminates all active sessions on the device, forcing it back to the sign-in screen immediately.
Bulk Device Actions
Select multiple devices using the row checkboxes to perform actions across all of them at once.
- Check the boxes next to the devices you want to manage. Use the header checkbox to select all.
- A bulk action toolbar appears with: Refresh All, Reset All, Update All, and Generate New URLs.
- Click the desired action. All selected devices execute it simultaneously.
⚠️ IMPORTANT
Resetting or ending sessions on multiple devices logs users out immediately and returns every selected device to the sign-in screen. Plan bulk resets during off-hours when possible to minimize disruption.
