How do I transfer or restore upcoming reservations for a user?

The Manage Reservations page allows Account Admins and Admins to view, transfer, or restore reservations for users within the organization. This tool is especially helpful when a user is made inactive, as any future reservations owned by that user are automatically canceled. From this page, those reservations can be transferred to another user or restored if needed.


Who appears on this page?

  • Active and inactive users are shown.
  • Deleted users will NOT appear.

💡 Tip: Use the Status filter to quickly toggle between active and inactive users.


Live (Upcoming) Reservations

Live (upcoming) reservations are future reservations that have not yet occurred and have not been canceled. If a reservation needs to be transferred to another user, follow these steps:

  1. Navigate to Occupants > Reservation Management.
  2. Search for the user who currently owns the reservation.
  3. Click the View link under the Live (Upcoming) Room/Seat column.
    1. All other resource reservations will be viewable under the Live (Upcoming) Asset/Locker/Parking column.
  1. Locate the reservation you want to transfer and check the box in the far-left column.
    1. The box will turn blue once selected.
  2. Click the Transfer button.
  3. Use the search field to find the user you want to transfer the reservation to.
  4. Select that user from the list.
  5. A confirmation pop-up will appear. Click Yes to confirm.

After confirming the transfer, the newly selected user will now be the new reservation owner!


Canceled Reservations

Canceled reservations are future reservations that are no longer active. These may have been canceled because a user was deactivated or because the reservation was accidentally canceled.

The best action to take depends on the reservation owner's profile status:

Profile = Active

  • Restore: Use this option if the reservation was canceled by mistake, or if the user was temporarily inactive and has since been reactivated.
  • Transfer: Use this option if the reservation needs to be restored, but reassigned to a different user.

Profile = Inactive

  • Restore (Not recommended): Restoring will reactivate the reservation, but leave it without an active reservation owner.
  • Transfer (Recommended): Since the current owner is inactive, transferring ensures the reservation is assigned to an active user.
 

How to Restore or Transfer a Canceled Reservation

  1. Navigate to Occupants > Reservation Management.
  2. Search for the user who currently owns the reservation.
  3. Click the View link under the Canceled Room/Seat column.
    1. All other resource reservations will be viewable under the Canceled Asset/Locker/Parking column.
  4. Locate the reservation you want to transfer and check the box in the far-left column.
    1. The box will turn blue once selected.
  5. Click the Transfer/Restore button.
  6. If transferring the reservation, use the search field to find and select the new reservation owner.
    1. If restoring the reservation, skip this step and the next step.
  7. Select that user from the list.
  8. Confirm your action when the pop-up window appears by clicking Yes.

FAQ

Why are the Transfer/Restore buttons greyed out?

If you are trying to transfer or restore a canceled reservation and the buttons are disabled and greyed out, if you hover over the buttons, you may see this tooltip: This reservation cannot be transferred or restored due to timeslot conflicts with existing reservations.

This is an indication that sometime after this reservation was canceled, but before it had been restored or transferred, another reservation had been created on that same resource that the canceled reservation was previously on. Since Maptician doesn't allow for overlapping reservations on the same resource, unless the existing reservation is moved, this canceled reservation cannot be restored or transferred.
