How do I manage Seat Assignments?

Learn how to assign, search, swap, and clear seats for occupants using the Assignments tab.

Overview

The Assignments tab is where you assign, swap, search, and clear seats for occupants on a map. These seats are assigned to one occupant only and do not require a seat reservation.

This article covers standard, full-time seat assignments. If you need to set up flex seating schedules instead, refer to our guide: How do I create and assign a Flex Schedule?.


Assign a Seat to an Occupant

To assign a seat to an occupant, follow the steps outlined below:

  1. In the main menu, navigate to the Assignments tab.
  2. Click Load Map.
  3. Select the desired map, and click Load.
  4. In the upper right corner, click the Occupants tab.
  5. Search for the occupant whom you wish to assign to the seat.

ℹ️ NOTE

If the occupant does not return in your search, this may be because they have already been assigned a seat or this location is not their primary location. Try checking the All Offices box or unchecking the Unassigned box to widen your search. You can also filter results by Department.

 
  1. Left-click on the occupant's image/image icon, hold, and drag their image to the desired seat. Once their image is above the seat you wish to assign them to, release the left mouse button and drop them into the seat to assign them.
  2. Once you are done assigning all seats, make sure to save changes and close out of the map.

Use the Multi-Assign Function

With the Multi-Assign function, assigning an occupant to a new seat will not unassign them from their existing seats. Before assigning a second or third seat to an occupant, first assign the occupant to their first seat like normal. See Assign a Seat to an Occupant above.

  1. Select the Assignments tab.
  2. Load the map to which you'd like to assign the additional seat.
  3. Select the Multi-Assign button so it is highlighted blue.
  1. In the upper right corner, click the Occupants tab.
  2. Search for the occupant whom you wish to assign to the seat.
  1. Left-click on the occupant's image/image icon, hold, and drag their image to the desired seat. Once their image is above the seat you wish to assign them to, release the left mouse button and drop them into the seat to assign them.
  2. The occupant's seat assignments will appear by their name in the Occupants tab.

ℹ️ NOTE

If the occupant does not return in your search, try checking the All Offices box or unchecking the Unassigned box. If they have already been assigned to another seat, you will need to uncheck Unassigned.

 

Reassigning an Occupied Seat

If the seat you drop an occupant onto (using Assign a Seat to an Occupant or Multi-Assign) is already occupied, Maptician asks you to confirm the reassignment before making the change. The current occupant will be moved to Unassigned.

⚠️ IMPORTANT

You can check Don't ask again this session to skip this confirmation for the rest of your editing session.

 

Use the Swap Seats Function

The Swap Seats function is found within the Assignments tab. If you have two occupants whose seats you need to swap with one another, this functionality provides a quick and easy way to accomplish this.

To swap seats, follow the instructions below:

  1. From the main menu, navigate to the Assignments tab.
  2. Click Load Map.
  3. Select the location and map you wish to access.
  4. To the right of the map, click the Swap Seats button.
  1. Click on one of the occupants within their current seat, and left-click on their image icon.
  2. Hold your left mouse key and drag their image/icon to the occupied seat they are switching to. Release the left mouse key to drop them in the seat.

ℹ️ NOTE

If done correctly, both occupants should display in their newly swapped seats.

 

Clear All Seats on a Map

Admins have the option to clear all seat assignments on a map.

  1. Navigate to the Assignments tab.
  2. Select the Location and Map where you would like to clear the seating assignments.
  3. The Map tab is the default tab that displays first. At the bottom of the Map Information, select the button Clear All Seats.
  4. Confirm by selecting Yes, clear them.

Review Changes Before Saving or Closing

Before your changes are saved, Maptician shows you a summary of every seat assignment change made during your editing session. This dialog appears when you select Save or Close at the top of the Assignments tab, as long as you have unsaved changes.

Shows Review unsaved changes, with the same two options plus Discard & Close to exit without saving.

ℹ️ NOTE

Rows highlighted in red show a removed assignment, which may include an occupant who was bumped from a seat as a side effect of another change (such as a reassignment or a schedule change).

 

Understanding the Columns

Column What It Shows
Name / Department The occupant affected by the change, and their department.
Action
  • Added: the occupant gained a seat and lost none.
  • Removed: the occupant lost a seat and gained none.
  • Moved: the occupant lost one seat and gained another in the same change.
Method How the change was made, for example Drag to occupied seat, Click to empty seat, Swap, Override (the occupant was bumped by a reassignment), Manual clear, Clear all seats, or a schedule-related clear.
Assignment Mode

This column only applies to seats being assigned, not seats being vacated.

  • Default: the seat was assigned normally.
  • Multi-Assign: the seat was assigned while Multi-Assign was active.
From / To The seat the occupant is moving from and/or to, including seat name and occupancy type.

Search for Seats

Within the Assignments tab, seats can be searched for using a filtering process, or by manually clicking on seats within a map.

  1. Navigate to the Assignments tab.
  2. Scroll to the right of the tabs and select the Seats tab from the navigation window on the right side of the screen.
  1. Filter and refine searches by using the Search and Department text boxes and the Unassigned checkbox.
  2. Select any seat number from the list, and you will be guided to the highlighted seat on the map.

ℹ️ NOTE

Alternatively, seats can be searched for manually by navigating within the map. Select any seat on the map and find information about that selection on the navigation bar on the right side of the screen. You can also search for seats within Locations > Manage Seats.

 

View Empty Seats on a Map

A quick click of a button in the Assignments tab reveals any open seats on a floor plan.

  1. Navigate to the Assignments tab.
  2. Select the location and map to load.
  3. In the menu to the right, click the Show Empty button.

ℹ️ NOTE

All unassigned seats are highlighted in blue.
