Before you Start
If you are trying to submit a room request, but in the Home section you don't see a tab at the top of the screen labeled as Approvals List or Request Form, please follow our article: How do I add a Request Manager to a Location?
Getting Started
Occupants that are configured in a custom permission group must have the Group members can submit a reservation request setting enabled to be able to submit a reservation request.

Non-Request Managers
Submit a Reservation Request
- For non-request manager users, in the Home tab, select the Request Form option at the top of the navigation list.

- This will take you to the Meeting Room Request form.

- The only required field will be the first one - Select an Office.

After selecting an office, you can fill out the optional fields if desired:
- Floor: Specify the floor you want the room to be on.
- Room Types: Select a specific room type if needed.
- Amenities: Choose any specific amenities required for the room.

Desired Date:
- Any date - if no other option is chosen
- Any day this week
- Any day next week
- Desired date - Choosing this option will show a calendar for you to select your desired date.
- Start/End Time: These will be your preferred start and end times for the reservation. If no times are selected this will default to be Any time.
- Additional Notes: It is recommended that you include any details about the reservation that are not already covered in the request form or any additional information you would like the Request Manager to know. This can include adding required services or flexibility with start/end times if the requested time slot is unavailable.
- You can confirm all the request information is correct via the Request preview panel on the right side of the screen.
- Once all information is confirmed, click the Submit Request button at the bottom of the preview panel.
- Your request has been submitted and will be reviewed by a Request Manager assigned to that location.
Request Managers
Submit a Reservation Request
- For request manager users, in the Home tab, select the Approvals List option at the top of the navigation list.

- You will be taken to the Approvals List where you will want to select the Create Request button.

- This will take you to the Meeting Room Request form.

- Similar to the non-request managers form, the only required field will be the first one - Select an Office.

After selecting an office, you can fill out the optional fields if desired:
- Back to Approvals List: Clicking this button will take you back to your list of pending reservation requests.
- Floor: Specify the floor you want the room to be on.
- Room Types: Select a specific room type if needed.
- Amenities: Choose any specific amenities required for the room.

Desired Date:
- Any date - if no other option is chosen
- Any day this week
- Any day next week
- Desired date - Choosing this option will show a calendar for you to select your desired date.
- Start/End Time: These will be your preferred start and end times for the reservation. If no times are selected this will default to be Any time.

Managing Reservation Requests
- For request manager users, navigate to the Home tab and select the Approvals List option at the top of the navigation panel.

You will be directed to the Approvals List, where you can view all pending, completed, and rejected reservation requests.
- Additionally, whenever a reservation request is submitted, you will receive an email notification.

If you are looking for a specific request, you can use the Search field to search by the requestor's name or email address.
To view completed requests, deselect the Pending Requests button and select the Completed Requests button.
You can also print or export the approvals list table using any of the available export options: Excel, CSV, or Copy to Clipboard.
Approving Reservation Requests
- From the Approvals List screen, select the reservation request you want to approve.
- Click the Approve Request button.

- A new tab will open in your browser, taking you directly to the Finder view. If specific criteria such as floor, room type, and/or amenities were selected in the request, these filters will automatically be applied in the Finder view.
Note: If you navigate away from the Finder view and later return, the pending request will no longer be available, and you will need to start over.

- In the Finder view, once you have found a room that meets the request criteria, hover over the room’s name and click the reservation calendar button.

- In the room's reservation calendar, you’ll see a bar labeled Pending Request. This bar provides the request details. To view the information, click on the bar, and the panel will slide open. To close the panel, click on the Pending Request bar at the top.


- After selecting a suitable date and time for the reservation, complete the reservation form and finalize the booking.
IMPORTANT: If the requested date and time are unavailable, you can choose any available date and time to complete the request.

Once the reservation is created, the request will be moved to Completed Requests.
- If the reservation is canceled in the future, the request will be reverted to a Pending Request and reappear in your approvals list.
Rejecting Reservation Requests
- From the Approvals List screen, select the reservation request you want to reject.
- Click the Reject Request button.

- The Reject Request popup will appear. This will show a description of the request you are rejecting while also providing you with an optional notes field to specify to the requestor why the request has been rejected.

- Select the Reject button to completion the request rejection and the requestor will receive the email notification.
