Microsoft Automatic User Provisioning

Before you Start
Before starting there are a few things you will need:
- Admin access to your Microsoft Entra ID (Azure) environment.
- Account Admin access to your Maptician environment. This only applies if you are configuring the integration on your own without assistance from Maptician.
- For provisioning you will need a Secret Token. This will be provided to you by your Maptician technical contact.
Getting Started
Step 1: Log into your Microsoft Azure Portal

Step 2: Select your Maptician Enterprise Application
Start the Provisioning setup by selecting your Maptician Enterprise Application.

NOTE: If previously you've set up a Microsoft Graph API, the Maptician Enterprise application is a different application and to continue with this article the Enterprise application must be selected.
Don't have a Maptician Enterprise Application?
After navigating to the Enterprise applications section of your Microsoft Azure account if you don't see the Maptician Enterprise application, you will want to follow the steps in our Microsoft Single Sign-on Setup article.
Step 3: Begin Provisioning Setup
Select the “Provisioning” menu option on the left of the screen:

Then press “Get Started” on the resulting screen:

Step 4: Update Provisioning Mode
The provisioning mode needs to be changed from “Manual” to “Automatic”:

Step 5: Add your Admin Credentials
Your “Tenant URL” should be set to https://YourSubdomain.maptician.com/scim/v2/
and the Secret Token will be provided to you by your Maptician technical contact. This is a unique value that allows Microsoft to securely connect with Maptician.

Step 6: Test your Connection
You will need to press the “Test Connection” button before the screen will allow you to save the configuration settings.

Step 7: Advanced Options - Mapping
After saving, you should be taken to the Manage Provisioning screen which will show you a section called “Mappings”. The default mappings are usually correct for provisioning (see notes below on a few exceptions), but advanced options are available to provision additional fields or adjust for atypical environments.

Location field Mapping: During provisioning, users are automatically assigned to Maptician locations based on a match to what is in the users Entra ID/Azure City field. Sometimes the Office location field is used instead of City, so a change needs to be made to the provisioning mapping.

Step 8: Activate Provisioning and Optional Safeguards
Further down on the same screen, under the “Settings” section, consider enabling the “Prevent accidental deletion” option for your Azure AD provisioning service. This feature is optional but HIGHLY RECOMMENDED as it ensures users aren't accidentally disabled or deleted from the Maptician application. If a user is deleted, all their reservations and seating assignments will be removed.

If testing your connection is successful then you should be able to set the “Provisioning Status” selector to “On” and save the changes at the top of the screen. Microsoft runs provisioning syncs every 40 minutes, so it may take that long to see the initial users provisioned into the system.

Step 9: Maptician is now fully configured for automatic provisioning!
After configuring your provisioning, if you go the the “Overview” section on the left side menu, there you will see your provisioning actions and the current cycle status.

Wanting to add new users immediately?
If new users are added and you want to provision them into Maptician and don't want to wait for the automatic cycle to occur, you will want to use the “Provision on demand” option from the “Overview” screen. This allows you to add users without stopping/restarting provisioning or having to wait for the next automatic cycle to trigger.
