Before You Begin Prepare for Bulk Upload Upload Your File

Before You Begin

If you have auto-provisioning set up, you will not need to use the bulk import functionality. Most updates should come into Maptician directly from your Active Directory provider during the auto-provisioning process.

If you are not using auto-provisioning, you may opt to do a one-time bulk upload of all occupant data. An Excel spreadsheet is provided below and can be populated with your data. Important: Your data must follow the exact format of the spreadsheet.

Prepare for Bulk Upload

Before your bulk upload, please make sure all of the following data has already been prepopulated in your Maptician environment:

  • Occupants > Permission Groups
  • Locations > Manage Locations
  • Organization > Departments > Name 
  • Organization > Departments > Number (if applicable)

Note: The data entered into the system should exactly match the data found in your import file. For example, if you have "Washington DC" as a location in your Maptician environment, you cannot enter "DC" as an employee's location within your data import file. The import will fail unless all data matches exactly.

Once all data is added to the system, open the data import file provided to you by your Implementation Manager and begin adding your data. Follow the instructions below:

  • Leave the tab names, column headers, and the first two rows of the file as-is. Do NOT edit these in any way. The import process skips over the first two rows. Any occupant information placed in either of those rows will not be uploaded. 
  • Enter all required fields. These fields are:
    • Email Address: This must be unique to each employee and a valid format, such as example@example.com. 
    • First Name: Employee first name. Must be between 1-30 characters long. Only letters and the following special characters are permitted: comma, period, apostrophe, dash. 
    • Last Name: Employee last name. Must be between 1-40 characters long. Only letters and the following special characters are permitted: comma, period, apostrophe, dash.

Upload Your File

Once you have completed your data file, you are ready to upload it. To do this, follow the steps below:

  1. Navigate to the Occupants tab.
  2. Towards the top right, click Occupant Management.
  3. Click Bulk Import.
  1. If this is a first-time import, select Create. 
    1. Note: You can also do employee updates or delete data via an import file.
  2. For the If A Submitted Occupant Already Exists field, select to either skip the occupant or update their record. 
    1. Note: If this is a first-time import, and there is no current employee data in the system, it does not matter which option you select.
  3. For the If an Entry Contains Invalid Data field, select Cancel Entire Operation.
  4. Click the blue Select File button to select the file to upload from your computer.
  5. Click Submit to begin the import. 

NOTE: If the import fails, the system provides a list of errors within the file. Once you correct all errors noted, you can attempt the import process again.
